Things to know if you're a New Owner in The Sanctuary
HOMEOWNER INSURANCE Attached below is a letter describing the type of insurance that each homeowner should have for their unit that aligns with The Sanctuary HOA insurance policy. CABLE TV & INTERNET The Sanctuary has a bulk rate contract with Xfinity for cable TV and internet services for all Sanctuary homeowners. The costs of the base contract services will be added to your HOA Dues and appear on your HOA bill each month. Any upgrades that you order will be billed to you directly. If you are a new owner, you need to call Xfinity to set up your account, order any upgrades you want, and arrange for installation of equipment. The number to call is for Xfinity Bulk Services Customer Services (855-307-4896), NOT the general Xfinity number. You are responsible for your equipment and when you move out, it is your responsibility to return the equipment to Xfinity. You can also visit the Xfinity store in Silverthorne to set up your account and pick up your equipment directly from the store. |
TRASH PICKUP
Trash pickup is normally on Fridays. If there is a holiday during the week, then the trash is picked up on Saturday. You should have a green trash bin in your garage. All trash should be placed in the bins and on pickup day the bin should be placed at the end of your driveway. Do NOT put bags of trash out for pickup that are not in the bin. We do have bears and they can make quite a mess.
RECYCLE
We do not have recycling service at The Sanctuary. If you wish to recycle, you can keep recycle bins in your garage and take your recycled materials to the landfill located on Landfill Road on the West side of Keystone. You need to separate cans, plastic, cardboard, and glass into separate containers at the landfill.
U.S. MAIL
We do have a cluster mailbox at The Sanctuary located next to 253 Caravelle Drive in the loop. Your mailbox number is the same as your Unit Number, not your street address. Mail should be addressed to your street address, i.e. Caravelle Dr or Sanctuary Ln., NOT your Unit Number. You can pick up your mailbox keys from Tim Huiting at 264 Caravelle Dr. His contact info is: tjhuiting@gmail.com, 513-608-1691. There are four parcel boxes in our cluster box, so most packages that arrive via U.S. Mail will be places in the parcel boxes. If it is too large, or the parcel boxes are full, the U.S. Mail service will deliver the package to your porch.
PACKAGE DELIVERY For package delivery, you should just use your street address, i.e. 264 Caravelle Dr. If the package is coming via FedEx or UPS, they will leave the package outside your front door. If the package is coming via USPS, it will either be placed in your mailbox (if small enough), or in a parcel locker with the parcel locker key being placed in your mailbox, or delivered to your front door if it is too large for a parcel box or the parcel boxes are full. |
BEARS
We do have bears that frequent The Sanctuary, especially in the Spring and Fall months, but also through the summer. They typically roam at night. It is important that you not keep any food items in your car if it is parked outside, even if it is locked. We have had several instances of bears smashing their way into the car in order to get something as simple as an open bag of potato chips.
MOOSE
It is very common to see moose in The Sanctuay throughout the year. They can be unpredictable, especially if it is a female with her young nearby. You should never approach them. Take your picture from afar!
QUIET HOURS
Quiet hours are from 10:00 pm to 8:00 am. This means that there is no outdoor activity allowed after 10:00 pm, including no hot tub usage, no firepit usage, and no gathering on the decks. In addition, excessive loud noise, such as large outdoor speakers, are never allowed at any time of day. MAINTENANCE ITEMS
If you have maintenance items that need to be addressed on the outside of your unit, including driveways and decks, you should contact Basic Property Management directly. You can find their contact information under the Contacts->Property Management tab of this website. Any maintenance items required on the inside of your unit, including electrical, heating or plumbing, is your responsibility to address with a contractor of your choice.
SNOW REMOVAL
We have two different contracts for snow removal. One for plowing roads and driveways, and another for hand shoveling of walkways. Contractually their service kicks in when there is 3 inches or more of accumulation in a 24-hour period. The hand shovelers typically arrive early morning while the road plowing is usually later in the day.
LANDSCAPING
The Sanctuary maintains the landscaping beds in the front of each unit. This includes a Spring clean-up, Fall pruning and noxious weed control throughout the summer. We do not add to the landscaping in the front, but if you enhance it, we will maintain it, within limits. We will mow the grass on all sides of your units. The grass is mowed five times per summer on an as needed basis. Please note that the grassy areas are not intended to be maintained as a groomed lawn, but rather as wild grasses. If you wish to make landscape changes in the back of your unit, it is your option to do so at your expense, but it will also be your responsibility to maintain it. You can contact our landscaper, Great Pines Landscaping, and enter into a personal agreement with them for whatever landscaping enhancement or maintenance needs you desire in the back of your unit. Before you make any changes to the landscaping for your unit, front or back, you should submit a "Request for Architectural Approval" to the Board to ensure that your changes are in keeping with the overall look of the neighborhood. ARCHITECTURAL CHANGES
Any architectural changes you want to make to the outside of your unit must go through the Architectural Control Committee and you must submit a "Request for Architectural Approval". This includes but is not limited to any changes to lighting, decks or roofs, adding or extending decks, adding any stand-alone structure, fencing, adding a hot tub, firepit or patio, and changes to driveways, including adding a pull-off space.
